New Release to GAA Club Managment and Registration System

GAA Management System – 3.3 Release Notes

The GAA Management System will be upgraded on Wednesday the 25th of April 2011. As part
of this release, a number of new features and enhancements have been added to the system.

A summary of some of the key updates is provided below:

Association Management

Club Administrators have been provided with the ability to re-generate the annual
member registration fee invoice. An updated invoice can now be generated should the
count of registered members within the club be updated. Click here for more details.

The Communications dashboard has been updated to enable Admins to specify Start
and End dates, ensuring greater monitoring of SMS usage within the Club.

The ‘Add & View Members’ page has been updated to enable Admins to quickly mark a
club member as a match official. Click here for more details.

When deleting or hibernating members from their club, Admins will now be given the
option of recording a reason for the change. This will provide the association with
the ability to generate better statistical reports on the reasons for changes to overall
membership numbers.

3rd Level Club Admins have been provided with the ability to perform client side uploads
and registrations of member details.

National, Provincial and County Admins have been provided with a new report detailing
all club amalgamations within their area. The report details the name of all amalgamated
clubs along with the names of their constituent clubs.

National, Provincial and County Admins have been provided with a new statistical
reports section detailing a breakdown on membership counts for clubs within their area.
Total registration counts, as well as a counts of the various member types are provided.

Documentation on the bulk addition and update of members has been updated to advise
users how to ensure fadas are stored correctly. Click here for more details.

Online help documentation has been updated for all areas of the system. Click here to

Competition Management

The Competition Overview dashboard has been updated to provide the ability to specify
a season.

When utilising the Move Rounds functionality, Competition Administrators now have the
ability to specify a date range as well as a specific date for a group of fixtures. Click here

Several updates have been made to the Fixtures and Results XML feed.

A new parameter option (‘language’) has been added to provide the the ability to
return all county\club\team names in English only.

The Archive parameter is no longer required when making a call to retrieve
information relating to a specific competition. Previously, if a competition was
moved to an archived state there was a possibility that a update may have
been required to web site calls to display fixtures and results relating to the
competition. This is now no longer the case.

Communication from County Secretary on Registrations

Dear Secretary,
 
I have outlined below extracts from the Official Guide in relation to Membership and Registration of Members and Players as it has implications for the games and also voting at your AGM.............Bí Ullamh just in case!
 
 
Before April 1st, a Club Registrar shall submit annually to Central Council, by the process of Electronic Registration, a list, in the Irish Language (except as provided for in Rule 1.7) of Full Members who have fulfilled their Annual Subscription requirement in accordance with Rule 6.2 of the Club Constitution and Rules. This list shall include the full name and address of each Full Member.  
 
Before April 1st, a Club Registrar shall submit annually to the Central Council, by the process of Electronic Registration a list, in the Irish Language (except as provided for in Rule 1.7) of Youth Members of all ages Under 18 years who have fulfilled their Annual Subscription requirement in accordance with Rule 6.2 of the Club Constitution and Rules. This list shall include the full name, address and date of birth of each Youth Member. Clubs shall submit by April 1st, through the County Secretary, an annual fee of €2.50 for every Full Member who has paid his Club Membership fee for the year.
 
A Club Registrar shall submit annually to Central Council, by the process of Electronic Registration, separate Registers in the Irish Language (except as provided for in Rule 1.7) of the Club’s Adult, Under 21, Minor and Juvenile (all grades) players. A player is to be included in only one of the Registers. This list shall include the full name, address and date of birth of each player. It is optional to have the addresses of Players registered in either Irish or English. Additional Registrations may be made subsequently. A Player must be registered at least three days before a game. A Register of Players shall be available for inspection to the Secretary of any Unit, upon demand in writing.
  
Penalty: The Penalty for playing a non-registered player shall be: -
  
·         On a proven Objection - Award of Game to the Opposing Team.
 
·         On an Inquiry by Committee-in-Charge - Forfeiture of Game without Award of Game to the Opposing Team, or Fine, depending on the circumstances.

Registration Deadline this Saturday 31st March

The following is a communication sent from Croke Park to all club secretaries in relation to the impending registration deadline.

The March 31st deadline for registration of members on the online registration system is approaching. Please note that clubs are asked to register all of their Full and Youth members and players on this system. This system is also used for the registration of teams to the player injury scheme.

In accordance with GAA rule, only Full members who have their fees paid and are registered before March 31st, or on an earlier date as stipulated by their club, have a vote at any club meeting in the following year membership year, which begins on April 1st. 

Please note that a helpline is available until 10pm Monday to Friday and from 9am to 5pm on Saturday to assist registrars with any queries relating to the online system. The number to call is 048-90313845 from the 26 counties or 028-90313845 from the 6 counties. Clubs can also email gaasupport@servasport.com. The system address is people.gaa.ie/admin.

Player Injury Scheme 
The deadline for completion of the registration of teams to the player injury scheme and payment of the player injury scheme fee is also March 31st. Registration of teams is also completed on the online registration system at people.gaa.ie/admin.  Please note that clubs who have not paid their subscriptions will not have claims submitted processed by Willis and will not qualify for the rebate payment or entry into the screening and fitness testing draw.

Star and label messages before you send them

Have you ever sent an important email that you wanted to follow up on, but a couple days later realized you hadn’t? Starting today, you can organize your messages before sending them by starring them or adding a label, making it easy to keep track of your sent messages.

When composing a new message, you can assign labels or star it by using the labels drop-down menu. As you’d expect, recipients of messages organized this way won’t see your labels or stars.

GAA ASSOCIATION MANAGEMENT - WEB MEETING TRAINING SESSION - TUESDAY (13.03.12)

Please find below the details for the GAA Association (Members) Management Web Meeting Training session on Tuesday the 13th of March. The meeting is scheduled to take place between 7pm-9pm. 

The first section of the meeting will involve a demo of the new functionality. The second section will be a Q&A session based on questions from the attendees.

NOTE - In order to join the Web Meeting a small update may have to be installed in your Internet browser. To ensure that you can join the meeting in good time please click on the TEST SYSTEM link below, at least 15 mins before the start of the meeting. This will perform a check on your computer and ensure that it is configured correctly.

To join the meeting you must perform the following steps:

1. Click on the Test System link (at least 15 mins before the start of the meeting).

2. Click on the Join Web Conference link. Once you have joined the Web Conference you will be able to view the Presenter's computer screen.

3. Dial the phone number specified below to Join the Audio Conference. When prompted please enter the pass code specified below.

Once you have joined the Audio Conference you will be able to hear the Presenter and also ask questions in the 2nd half of the meeting.

Club Treasurer official GAA email account

As part of the continuing roll-out of the Google capabilities to clubs an additional club email account has been created for the position of Treasurer.

We would encourage all clubs to use their official GAA email addresses for communications with all parties both internal and external to the club.

To start using your new club account can you please email itofficer.dublin@gaa.ie from either the club secretary or chairperson email account for activation and account login details.

PayPal Online Payment Options

The Dublin Country Board have recently signed an agreement with PayPal enterprise services that will allow Dublin GAA units to avail of the lowest online transactions fees available when using the PayPal offerings.

An introduction night has been arranged to look at issues of account set up and integration with websites.  If you are interested in this area and would potentially like to attend this session please contact the IT Officer on itofficer.dublin@gaa.ie.
